Schedule and Attendance Journal

Mimiao’s schedule is built around two concepts: series (recurring lessons) and one-off sessions. Series make it possible to set up a full month of lessons in seconds.

Lesson series

A series is a recurrence rule: for example, “every Tuesday and Thursday at 6 PM, teacher Marina, student Oleh, 60 minutes”. After saving, the series materialises automatically in the calendar across the full planning horizon.

Rescheduling one lesson never breaks the series. If Tuesday’s lesson needs to move to Wednesday, you reschedule only that instance — all future Tuesdays stay as scheduled. The system keeps the full history: original slot, when it was moved, and who moved it.

To change the entire series going forward (for example, to assign a different teacher), choose “Update all future lessons in this series”.

One-off lessons

A one-off lesson is a standard record not tied to any series. Useful for substitute teachers, consultations, or one-time sessions.

Trial lessons for leads

From a lead’s card you can schedule a trial lesson — it appears in the schedule and journal, but does not deduct from any balance (there is none yet). After the trial, convert the lead to a student in one click.

Lesson statuses

Every lesson moves through the following statuses:

• Scheduled — upcoming or not yet conducted.
• Completed — marked as done by the teacher or admin. It records attendance and creates the appropriate student-balance and teacher-earnings entries under the school’s rules.
• Cancelled — the balance outcome follows the school’s cancellation rules.
• Rescheduled — a link is kept between the original slot and the new one.

Change status from the calendar or the lessons list with a single click.

Attendance journal

When marking a lesson complete, the teacher or admin fills in the attendance journal for each student:

Status	Meaning
Present	Student attended
Late	Arrived late but the lesson happened
Absent	Did not show up

Attendance data appears in the student’s profile and in analytics. Declining attendance is one of the key churn-risk signals — see the churn-risk zone for details.

Balance deduction and teacher earnings

As soon as a lesson is marked Completed, the system automatically:

1. Creates the appropriate lesson-balance entry for each participant, taking attendance and the school’s rules into account.
2. Creates an earnings entry for the teacher according to the applicable rate.

No manual calculations needed. For a cancelled or rescheduled lesson, the outcome follows the school’s cancellation rules.
