Common questions about switching
How long does migration take?
Usually a day. Importing students from Excel or CSV takes minutes, and the first schedule comes together in an evening — from there the school already lives in Mimiao. If your base is large or spread across several spreadsheets, we migrate over a few days and do it together with you so nothing gets lost. You don’t need to tidy your files first: the import wizard surfaces the problem spots before any data lands in the system.
What about payment history?
We bring in each student’s current lesson balance as an opening balance — so the system immediately knows who has prepaid what. And if you want to keep the history itself, a dedicated wizard in Finance → Import brings payments over from a spreadsheet (.xlsx or .csv): it matches payers to your students, shows the confidence of every match and the validation totals — and only after your confirmation writes anything into the immutable financial ledger. From there the books keep themselves honestly: no entry can be edited or deleted after the fact.
How do I know my school has outgrown Excel?
There are a few telltale signs. The books stop balancing, and every month you hunt for “missing” money. The schedule lives in your head, not in the sheet — and evenings go to “do we have a lesson tomorrow?” messages. Teacher payroll gets recounted several times because of reschedules. And the biggest one: students disappear quietly, because nobody connects the signals — absences, a debt, abandoned homework. If you recognize even two of these, the school is already bigger than a spreadsheet, and moving will give you back the hours that manual reconciliation now eats.
What if our spreadsheet is a mess?
That’s normal — almost everyone’s is, and that’s exactly what the import wizard is for. It checks every row, finds duplicates, broken phone numbers and empty fields, and gathers them into a separate list of problems. You fix them right in the preview, before the “Import” button: you see who will be created, who will merge with an existing student, and what gets skipped. No “everything went sideways after the import” surprises — first a preview, then the real changes.
Can we run two systems in parallel?
Yes, and many schools do exactly that: for the first month they run Mimiao in parallel with the old spreadsheet or CRM, to settle in and confirm everything’s in place. There’s no technical obstacle to it. In practice the old system usually stops being opened within a week — once the schedule, payments and journal are in one place, going back to scattered spreadsheets loses its appeal. We won’t push you to switch faster than you want.
