A training center is rarely about one thing: English, math, coding, exam prep, art — and every program has its own schedule, its own teachers, its own rates and its own group chat. While the center is small, one administrator holds it together. Then the familiar part begins: five spreadsheets that never agree with each other, and a director manually assembling “how much did math earn us” at the end of every month.
Here’s how to structure a multi-program center’s records so the “whole center at once” picture lives on a single screen.
One calendar instead of a schedule “per program”
The first mistake is keeping each program in its own file. Rooms, teachers and students are shared across the center, so the calendar has to be shared too. The right structure: a program = products + groups, not a separate system. English groups and math groups sit side by side in one schedule; lesson series (“every Tuesday at 5 pm”) fill the calendar themselves; reschedules keep their history. Room and teacher conflicts become visible before they happen.
One till — and balances that never get tangled
When a student attends two programs, spreadsheets hurt the most: the math payment got recorded in the English file, and the debt vanished between the two. The fix is one student profile with a lesson balance per product: a math-package payment lands on the math balance, and a delivered math lesson charges exactly that. Debtors across the whole center show up in one filter, and payment reminders go out on their own — whatever the program.
Payroll: each teacher their own rate, the center one total
Different programs run different economics: a flat fee per session here, a percentage of the group there, and someone on a fixed monthly salary. The one rule that matters: the accrual must be created automatically at the moment a lesson is delivered, at that exact teacher’s rate for that exact format. Then “recalculating payroll” stops existing as a monthly project — there’s a ready total per teacher and for the center, with a “time to pay” reminder.
Analytics: an honest answer to “which program carries the center”
Financial analytics shows the center-wide picture and revenue breakdowns by product and teacher. An honest caveat: Mimiao has no separate “program” directory with a ready-made P&L per discipline yet; groups remain a teaching structure, not a financial reporting dimension. That still gives a director verifiable numbers for deciding whether to expand a particular product.
Subject programs stay distinct without separate systems
Maths, coding, art and exam preparation live in the same neutral subject catalog, then split into their own products, groups, lesson series and teacher rates. Language centers can additionally enable the spaced-repetition vocabulary trainer and CEFR levels; subject centers keep those language-only fields out of the interface.
